When you book a class or camp through our booking system, Class4Kids:

When you visit this website:

• Your name, email address and phone number
• For party enquiries: your child's first name, their age on the day, your preferred date, the party length, roughly how many children, and whether you have a venue
• Anything else you choose to tell us in the message box
• Your contact details and emergency contact details
• Your child's name and date of birth
• Medical information you provide, such as allergies, asthma, medication or SEND notes
• Payment information, which is handled by our booking system and its payment provider, not by us
• Standard technical information such as your IP address and browser type, which our hosting provider records in order to serve the site securely. We do not currently use website analytics.

• To answer your enquiry and arrange your party, class or camp
• To deliver sessions safely, which is why we hold medical and emergency contact information
• To take payment and send invoices
• To send you information about your booking
• To send you news and offers, but only if you've asked us to, and you can stop at any time
• To understand how the website is used so we can improve it

Our lawful basis is that we need the information to provide what you've asked for, or you've consented to it, or it's in our legitimate interests to run our sessions safely.

We don't sell your information and we don't share it for anyone else's marketing.

We use these companies to run our business, and your information passes through them:

• Class4Kids, our booking and payment system
• GoHighLevel, which powers this website and our email and enquiry handling
• Mailchimp, which we use to send our email newsletter, only if you've chosen to receive it

Where we run sessions on school premises, safeguarding information may be shared with the school, the local authority, emergency services or other appropriate agencies where that's necessary to protect a child or to meet a legal obligation.

We may also share information where we're legally required to, for example under a court order.

We keep your information only as long as we need it for the reasons above, or as long as we're required to by law. Enquiries that don't become bookings are deleted once they're no longer relevant.

Our systems store data securely. Some providers store data outside the UK. Where that happens, we take reasonable steps to make sure it's protected to the same standard as it would be here.

Under UK GDPR you have the right to:

• Be told what we do with your information
• Ask for a copy of what we hold about you
• Have anything inaccurate corrected
• Ask us to delete it
• Ask us to restrict how we use it
• Ask for a copy to take elsewhere
• Object to us using it for particular purposes

There's no charge. Email admin@mad4sports.co.uk and we'll deal with it.

If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.

Most of the information we hold about children is given to us by a parent or carer at the point of booking. We treat it as confidential, hold it securely, and only make it available to the people who need it to run the session safely or to respond to a concern.

If you'd like to see, correct or delete information we hold about your child, email admin@mad4sports.co.uk.

If you'd like a photo removed, email admin@mad4sports.co.uk and we'll take it down.
